We are looking for a dedicated and detail-oriented individual to join our team as a Procurement & Administrative Assistant. This role plays a crucial part in ensuring seamless purchasing operations and administrative support within our organisation.
Role Responsibilities
Key Responsibilities:
- Managing daily petty cash trackers, recording expenses, and preparing procurement reports.
- Supporting the Property Manager’s duties and being involved in daily operations.
- Overlooking and having a basic involvement in F&B, kitchen, housekeeping, and driver departments.
- Assisting with shopping lists, compiling schedules from all departments, and finalizing procurement orders.
- Handling attendance sheets and daily procurement reports.
- Collaborating with the internal finance admin, assisting in daily finance reports, and developing an understanding of weekly/monthly finance trackers and billings.
- Maintaining professional communication with vendors and clients, leveraging knowledge of local suppliers.
- Working efficiently under short notice and occasional high-pressure situations while maintaining a proactive and composed approach.
- Prioritizing tasks effectively is crucial, as this position requires minimal supervision.
- Coordinate with various departments to fulfil their procurement requests, ensuring timely delivery and adherence to the company's procurement policies..
Qualifications and Experience
- Microsoft Office skills – Advanced
- English level – Advanced
- Driving license – Yes
- Well-spoken and able to communicate professionally with vendors and clients
- Presentable, proactive, and adaptable, with strong multitasking skills
- Able to work in a warm, team-oriented environment while managing responsibilities effectively
- Prior experience in procurement, administration, or a similar role is preferred
- Experience in recommending brands and suppliers is an advantage.
- A University Degree in Business Administration or a related field is required.
- Minimum of 3-5 years of hands-on experience in a procurement role, preferably within the hospitality industry.
