Role Summary
Madar_39 is seeking an experienced and adaptable Operations Manager to oversee both the day-to-day operations and long-term strategic direction of our organization. Reporting directly to the General Manager, the Operations Manager will be responsible for managing facilities, HSE protocols, vendor relationships, IT and utilities, as well as overseeing leasing and venue hire operations. This role also involves managing the operational budget and petty cash, ensuring smooth and efficient workflows across all departments.
Key Responsibilities:
Operational Strategy, Implementation & Monitoring:
- Develop and implement strategies to align operational processes with business goals.
- Monitor operational performance and optimize processes.
- Establish and track performance metrics.
Facilities Management:
- Oversee the maintenance and operation of the physical space.
- Manage the outsourced facilities team to ensure the upkeep of all spaces.
- Act as the main point of contact with the landlord’s facilities management for building-related concerns.
Health, Safety, and Environment (HSE):
- Ensure compliance with local HSE regulations.
Policies and Procedures:
- Create and update operational policies to ensure compliance and smooth functioning.
- Regularly review policies to meet evolving organizational and regulatory needs.
Utilities & IT:
- Monitor utilities consumption for cost-saving opportunities.
- Ensure smooth IT system functionality and liaise with the IT team for troubleshooting and upgrades.
- Oversee vendor relationships for utility and IT services.
Procurement & Vendor Management:
- Coordinate with the procurement and finance teams for cost-effective goods and services.
- Build strong relationships with vendors and suppliers.
- Manage petty cash and operational budgets.
Venue Hire Management:
- Handle venue bookings, from inquiry to execution, ensuring a seamless experience.
- Coordinate with various teams for event setup and logistics.
- Liaise with Finance for invoicing and revenue tracking.
Leasing Management:
- Manage tenant onboarding, lease agreements, and contract renewals.
- Liaise with the legal team to ensure lease compliance.
- Oversee build-outs, coordinating with facilities management teams for approvals.
Program Delivery:
- Collaborate with the Program Manager to ensure smooth execution of M_39 programs.
Front Desk Supervision:
- Oversee front desk operations, ensuring excellent customer service.
- Provide guidance to the team to maintain a welcoming environment.
Skills and Qualification:
- Strong strategic thinking and operational planning skills.
- Excellent organizational and project management abilities.
- Exceptional interpersonal and communication skills.
- Proficiency in facilities management, leasing, procurement, and vendor relations.
- Knowledge of local HSE regulations and practices.
- Financial acumen for budgeting, petty cash management, and revenue tracking.
- Proven team management experience, able to delegate tasks and foster a collaborative environment.
- Ability to manage multiple projects in a high-paced, deadline-driven environment.
- General awareness of art, design, culture, innovation, and business.
Education & Experience:
- Bachelor’s degree or equivalent experience.
- At least 10 years of administrative experience, with 5+ years in a management role.
- 7+ years of operations management or related experience.
- Experience in leading cross-departmental teams and managing vendor relationships.
- Experience in managing leasing processes and complex build-out projects is a plus.
- Relevant certifications in HSE, facilities management, or procurement are a plus
