As we continue to grow, we’re seeking a highly organized, relationship-driven Operations Manager to support our General Manager in both daily operations and long-term strategic initiatives.
The Operations Manager will play a crucial role in delivering seamless operations across leasing, venue management, facilities, and broader administrative and strategic support. This is a front-facing, hands-on role ideal for someone who thrives in a start-up like environment proactive, flexible, and people-focused, with the ability to manage multiple workstreams simultaneously.
Key Responsibilities
Operational Strategy & Monitoring
- Develop and implement operational strategies aligned with business goals.
- Monitor and optimize operational processes.
- Establish and track performance metrics.
Leasing Management
- Oversee leasing operations, including onboarding and renewals.
- Manage lease agreements, Tawtheeq registrations, invoicing, and compliance.
- Supervise tenant build-outs and coordinate with facilities teams.
Venue Hire Management
- Manage venue hire from inquiry to execution, ensuring client satisfaction.
- Coordinate with internal teams for event setup and execution.
- Track bookings and ensure accurate revenue documentation.
Facilities & Vendor Oversight
- Manage outsourced facilities team (cleaning, security, technicians).
- Serve as liaison with landlord FM teams and supervise physical space maintenance.
- Oversee repairs, renovations, and ensure space remains welcoming and functional.
Front Desk Supervision
- Lead front desk operations with a focus on hospitality and professionalism.
- Mentor and support front desk staff to deliver high-quality visitor and member service.
HSE & Compliance
- Ensure HSE standards are met in collaboration with third-party specialists.
- Maintain safety protocols and ensure regulatory compliance.
Utilities & IT Management
- Coordinate with utility and IT providers to ensure smooth operations.
- Monitor consumption and implement cost-saving measures.
Procurement & Financial Tracking
- Oversee procurement with Finance and back-of-house teams.
- Manage vendor relationships, petty cash, and revenue tracking.
Program Support
- Work with the Head of Programs to support successful program delivery and logistics.
Qualifications & Experience
Education
- Bachelor’s degree or equivalent combination of education and/or professional experience.
Experience
- 10+ years of administration experience, including 5+ years in a management role.
- 7+ years in operations, facilities management, or a related field.
- Experience in leasing, vendor management, and event coordination.
- Background in team management and multi-stakeholder environments.
- Experience with shell and core fit-outs is an asset.
- HSE, facilities, or procurement certifications are a plus.
Knowledge & Skills
- Strong organizational, project management, and communication skills.
- Understanding of HSE regulations, local government protocols, and facilities operations.
- Financial acumen for budgeting, petty cash, and revenue tracking.
- Proficient in managing teams, building vendor relationships, and delivering exceptional customer experiences.
- Tech-savvy with the ability to learn and implement new systems.
- Sensitivity to cultural, creative, and design-oriented environments.
